Drag-and-drop in CompuDMS

Keyboard shortcuts expand the drag-and-drop functionality in CompuDMS:

Replace working copy (drag and drop)
To replace an existing working copy instead of adding the dragged file, just drop the file onto the working copy you wish to replace.

Add and create version (drag and drop + Ctrl)
When adding a local file to CompuDMS, you can immediately create a version of the file by holding the Ctrl key while dropping the file.

Add, create version, and archive (drag and drop + Ctrl + Shift)
If you are adding an older or outdated file that you merely want to store in an audit-proof manner, you can press and hold Ctrl and Shift to add it, create a version, and archive it in a single work step.

You can directly create a version when replacing working copies as well. Just drop the file onto the working copy you wish to replace while holding the Ctrl key.

Compare Word documents with CompuDMS

With this tool, CompuDMS enables you to quickly gain an overview over all changes in your documents, helping your day-to-day work.

You can choose the windows that should be displayed. The desired source documents can be pre-selected in Word via “Review” > “Compare” > “Show Source Documents”. You can also close unnecessary windows directly in the view by clicking the X in their upper right corner.

CompuDMS provides you with a clear view of multiple versions of a Word document, giving you convenient and, thanks to the Word connection, rapid access to the files to be compared – sparing you a time-consuming search via the explorer.

You can also, of course, compare different Word documents, to check, for example, not just multiple versions of a contract for changes, but also track changes between multiple contracts.

Compare different versions of a Word document

  • Select two versions of a Word document in a CompuDMS directory and
  • click the toolbar button “Compare”.
  • You can also use the context menu instead by right-clicking one of the selected files and clicking “Compare”.

View the comparison in Word

  • The stacked windows on the right show the two compared documents (called source documents in Word),
  • the center window displays a combined document with the changes highlighted in color and
  • the window on the left contains a summary of the changes.

Compare different documents

  • Select two different Word documents in a CompuDMS directory and
  • click the toolbar button „Compare”.
  • Alternatively, you can start the comparison via the context menu as well.

 

Create CompuDMS desktop shortcuts

Quick access to frequently used files:

Select file

  • Select the file or directory in CompuDMS to which you want to create a desktop link and
  • right-click it to open the context menu.
  • In the “Send to” submenu, click “Clipboard as link”.

On the desktop

  • Go to your desktop,
  • right-click to open the context menu and
  • open the “New”, submenu, then click “Shortcut”.

Create shortcut

  • In the dialog that now opens, paste the generated link from the clipboard into the location textbox and
  • confirm your input with “Next”.
  • Finally, enter a meaningful name for the shortcut and confirm with “Finish”.

Mark favorites in CompuDMS

Quick access to frequently used files – without a desktop shortcut:

While it is a lot more convenient to find files with the CompuDMS search feature instead of manually hunting through directories, you can make your life even easier: You can mark frequently used or hard-to-find files as favorites.

Mark as favorite

  • To mark a file or directory as favorite, just right-click it and
  • select “Favorite” in the context menu.
  • The selected item is now displayed in the “My Favorites” directory at the top of the server tree.

You can remove files from your favorites just as easily – perfect for work projects: Mark project files as favorite and remove them from the list after project completion.

Remove from favorites

  • To remove a file or folder from your favorites, just right-click it (either in “My Favorites”, in its parent directory, or in the directory tree display) and
  • click “Favorite”.
  • The check mark next to “Favorite” disappears and the item is no longer listed in “My Favorites”.

You can also mark directories as favorite.
